This privacy notice explains how Anglian PHE Ltd (“we”, “us”) collects and uses personal information when you visit anglianphe.co.uk, contact us, or ask us to quote for or carry out plumbing, heating or electrical work. We are the data controller for this information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect

We only collect the information we need to respond to you and to provide our services. This may include:

  • Details of your enquiry – what the problem is or what work you need, and any photos, videos or other information you choose to send us.
  • Job and account records – quotes, appointments, work carried out, certificates and safety records, invoices and payments.
  • Website usage information – information collected through cookies and similar technologies, such as pages visited, device and browser type and approximate location (see “Cookies and analytics” below).

How we collect it

  • When you fill in a contact or quote form on our website.
  • When you email us, phone us or message us on WhatsApp.
  • When we visit your property to quote for or carry out work.
  • Automatically when you use our website, through cookies and analytics.

If you contact us by WhatsApp, your messages are also handled by WhatsApp under its own terms and privacy policy.

How we use your information

  • To reply to your enquiry and give you advice or a quote.
  • To arrange appointments and carry out the work you ask for.
  • To issue certificates, safety records, invoices and receipts, and to handle payments.
  • To deal with any questions, complaints, warranty or follow-up work after a job.
  • To meet our legal, regulatory, tax and accounting obligations.
  • To keep our website secure, prevent spam and understand how the website is used so we can improve it.

We do not sell your personal information, and we do not use it for marketing without your permission.

Our lawful bases

  • Contract – where we need your information to give you a quote or carry out work you have asked for.
  • Legal obligation – where the law requires us to keep records, for example for tax, accounting or safety purposes.
  • Legitimate interests – to respond to general enquiries, run and protect our business and website, and handle complaints or disputes.
  • Consent – for non-essential cookies and analytics where required, and for any marketing. You can withdraw consent at any time.

Who we share it with

We only share your information where it is needed, for example:

  • with the companies that provide our website hosting, email, IT and communication services, who handle it on our behalf;
  • with regulators, building control bodies or other authorities where the law requires us to notify certain work;
  • with equipment manufacturers, for example to register a warranty, if you ask us to;
  • with our professional advisers, or where we are required to by law.

Cookies and analytics

Our website uses cookies that are needed for it to work and to protect our contact forms from spam. We also use Google Analytics (through the Google Site Kit plugin) to understand how visitors use the site. Google Analytics uses cookies to collect information such as the pages you visit and how long you stay; this information is processed by Google and may be transferred outside the UK. Some pages include content from other websites, such as customer review widgets, maps or videos, and those websites may set their own cookies. You can block or delete cookies through your browser settings.

How long we keep it

  • Enquiries that do not lead to work – kept for up to 12 months, then deleted.
  • Customer, job and financial records – kept for six years after the end of the financial year in which the work was completed, to meet tax and accounting rules and to deal with any warranty or legal claims.
  • Certificates and safety records – kept for as long as the law or the relevant industry scheme requires.
  • Website analytics data – kept in line with the retention settings in Google Analytics.

How we protect it

We take reasonable technical and organisational steps to keep your information secure and to limit access to people who need it to do their job.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, where we do not need to keep it;
  • ask us to restrict or stop using your information, or object to how we use it;
  • ask for your information to be transferred to you or another organisation, where this applies;
  • withdraw your consent at any time, where we rely on consent.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint, or phone 0303 123 1113.
